Duties Description The State University of New York System Administration is searching for a full-time Office Assistant 2, SG-09, located in Albany N.Y. This position is responsible for maintaining the daily operations of the Office of Enrollment Services by responding to inquiries from System Administration staff, campuses, school counselors, advisory and working groups, vendors and outside organizations; maintaining office calendars and filing systems; arranging meetings and conference calls; coordinating travel arrangements and processing related reimbursement paperwork; compiling data for the purposes of preparing reports; and maintaining the inventory of office supplies and recruitment materials

Specific Duties and Responsibilities:
•Provide office support for the Assistant Vice Chancellor for Enrollment Services and other office professionals
•Schedule all appointments, establish weekly/bi-weekly meetings and/or conference calls with all individual staff, in-state and out-of-state. Coordinate Enrollment Services staff meetings.
•Open and distribute mail to appropriate office or staff member
•Answer and direct telephone inquiries
•Assist in the arrangements of workshops and conferences
•Responsible for travel arrangements and New York State reimbursements to in-state staff, out­ of-state staff and Enrollment Management Advisory Council members
•Responsible for all mailings (SUNY Viewbooks, information summary sheets, etc.) to high schools, colleges, libraries and campus personnel
•Responsible for distribution of materials to SUNY System Administration offices
•Responsible for all Enrollment Services budgeting on a daily basis. Responsible for once a month budget reports for the Office of Enrollment Services, Recruitment Response Center, Enrollment Programs and the SUNY Welcome Center.
•Responsible for all office procurement card purchases; prepare and maintain accurate spending, records
•Oversee large-scale mailings for Directors of Admission, Directors of Guidance and school counselors
•Maintain listservs, high school information system and publications database
•Collect sub-reports from all office staff and compile final office annual report
•Respond to inquiries from System Administration staff, campuses, school counselors, advisory and working groups, vendors and outside organizations and assist in the preparation of responses for supervisor's signature
•Maintain and track inventory of office supplies and recruitment materials, purchasing supplies as needed

Additional Comments This is a permanent position in the competitive jurisdictional classification. To be eligible, candidates must be reachable for appointment on the current Civil Service eligible list for this title; or have permanent status as an Office Assistant 2, SG-09, and be eligible for lateral transfer; or be eligible for transfer under Civil Service Law; or be eligible for reinstatement pursuant to Civil Service Rule 5.4.

Note: Candidates should be aware that a preferred list, transfer list, placement roster and/or reemployment roster of laid off state employees may be certified against this vacancy by the Department of Civil Service.
