Minimum Qualifications Job Requirements:

•Proficiency with Microsoft Office and aptitude to learn new computer applications

•Exceptional verbal and written communication skills

Preferred Requirements:
•Two-year degree
•Knowledge of Microsoft Office (Outlook, Word, Excel, PowerPoint), Sharepoint
•Knowledge of SUNY or New York State policies and procedures
•A minimum of two years’ work experience in an administrative setting
Duties Description The State University of New York System Administration located in Albany, New York is searching for a Secretary (MC 06) for the Office of the Chancellor. This position works closely with the Chancellor and the Chancellor's Special Assistant as well as Provost, Communications, and Government Relations offices and reports directly to the Chancellor's Special Assistant for day-to-day responsibilities.
Responsibilities include but are not limited to:
•Provide executive level administrative support to the Chancellor and the Chancellor’s Special Assistant
•Coordinate and maintain the schedules of the Chancellor and Chancellor’s Special Assistant
•Manage all tasks related to the Chancellor’s extensive domestic and international travel
•Research and prepare materials and background information as needed for meetings and travel
•Prepare and/or edit routine communications, i.e. justifications for travel, food, special events and purchasing approvals
•Independently respond to inquiries and route them to the appropriate System Administration staff to ensure that open inquiries are assigned and addressed
•Arrange conferences, conference calls and schedule meetings as needed
•Responsible for managing the Office of the Chancellor’s administrative budget for supplies, printing, etc. as well as preparing purchase requisitions, etc.
•Provide assistance in gathering and compiling information and data for reports, presentations and budgets
•Serve as initial point of contact for the Office of the Chancellor as well as the liaison between key executives, staff and other employees
•Manage the filing system for the Office of the Chancellor including organization and maintenance
•Manage and maintain contact databases. This includes maintaining, updating, and distributing the presidential contact list and various system-wide listservs
•Create and maintain office databases
•Assist in the preparation and finalization of official Chancellor's office documents (i.e. letters, memos, invitations) both electronic and hard copy
•Serve as backup and assistant to the Chancellor's Special Assistant with scheduling requests and calendar maintenance
•Work effectively with other offices within SUNY System Administration as needed to achieve these and other tasks
