Minimum Qualifications Candidates for this position must be reachable on the Civil Service Secretary 1 list or eligible for transfer or reinstatement to that title.
Preferred Qualifications
In addition to the aforementioned minimum qualifications, it is preferred the candidate also have:
1. Strong oral and written communication skills
2. Proficiency with Microsoft office suite and Outlook, including calendaring functions.
3. Basic proofreading and editing skills
4. Ability to maintain confidentiality
5. Ability to juggle a varied workload, prioritize and ask for help when needed
6. Ability to plan and organize meetings and events
7. Ability to work well with other clerical staff, members of the campus community and the general public.
Duties Description The Secretary 1 will be housed in Knapp Hall, the campus administration building. The incumbent will serve as secretary to three areas: The Vice President for Business and Finance (VPBF), the Vice President for Operations (VPO) and the Director of Communications and Marketing (Director). The VPBF will serve as the secretary's immediate supervisor and will assist in prioritizing work.
Duties will include, but will not be limited to:
1. Manage the offices of the VPs and serve as the first point of contact for callers and visitors.
2. Have primary responsibility for the campus switchboard; arrange for back up as appropriate.
3. Receive submissions, edit and publish Coby Now (internal online newsletter) announcements on a daily basis.
4. Manage calendars for the VPs. Set up meetings, reserve rooms, arrange for AV and catering needs, respond to meeting requests.
5. Work closely with assistants to other cabinet members to maintain a cabinet calendar.
6. Make travel arrangements for the VPs and the Director.
7. Follow up with other offices/staff regarding information requests, assignments, etc. on behalf of the VPs.
8. Collect and compile information and background materials for reports and requests.
9. Print/download reports from SUNY Business Intelligence (BI) System and other sources as requested.
10. Handle purchasing for the VPs and Director. Assist in tracking budgets. Track vendor/media billing and requisitions for the Director.
11. Printing, copying and filing as needed/requested.
Perform various keyboarding work including the creation of Microsoft Word, Excel and Power Point documents and use of Adobe Acrobat Pro.
12. Assist the VPs and/or Director with a variety of confidential matters and tasks.
13. Assist the VPs in managing their to-do lists.
14. Work closely with clerical staff in Facilities, ITS and HR to provide mutual assistance and support as needed.
For the Department of Communications and Marketing, duties will include:
1. Project traffic management
2. Archive department photo and copy files on shared drives
3. Support web site content management
4. Photo release cataloging and management
