Minimum Qualifications MINIMUM QUALIFICATIONS:

For Permanent appointment: Candidates must be reachable on the current Civil Service eligible list or be eligible for 70.1 transfer.

Duties Description POSITION DESCRIPTION:

The Office for People With Developmental Disabilities (OPWDD) provides high-quality, person-centered services, supports and advocacy to approximately 136,000 individuals with developmental disabilities in New York State. We are guided in our interactions with the people we serve and each other by compassion, dignity, diversity, excellence and honesty.

The Secretary 1 will provide support to the CAS DDPS IV- Statewide Operations Manager as well as to the Statewide CAS operations team, while performing a wide variety of tasks to maintain efficient workflow within CAS Operations across the state.


PRIMARY DUTIES AND RESPONSIBILITIES:

• Responding to correspondence, work independently to ensure all written correspondence are received/logged and answered appropriately.
• Answering and directing CAS related calls- including calls from parents/family members. Self-advocates, not for profit agencies, and DDRO/DDSO staff across the entire state. All calls go through this office to ensure they are appropriately relayed to the staff that can best provide the answer to their questions.
• Organize and coordinate administrative activities- the incumbent will be responsible to help organize the scheduling of the DDPS IV and POS III daily responsibilities, including running TABS and UAS-NY reports, scheduling meetings, putting CAS assessor caseloads into CHOICES (once approved by the DDPS IV, keeping track of assessor time off and travel.
• Prepare reports and spreadsheets for the DDPS IV and POS III- the incumbent will help maintain the CAS assessor caseload reports which are critical to our ability to maintain CAS assessor assignments, BIP allocation reports, QA reviews of completed CAS assessments, and various tracking reports as necessary.
• Monitor and track status of CAS assignments- Maintain a tracking system for CAS assessor staff deployed across the state, etc.
• Tracking CAS assessor travel across the state
• Schedule meetings and sending out CAS operations notifications- Incumbent will send out notification of scheduled meetings as received.
• Take minutes- during CAS operations meetings incumbent will be responsible for disseminating an agenda, taking attendance and once approved dissemination meeting minutes to the CAS operations team.
• Review calendars for DDPS IV and POS III- incumbent will ensure DDPS IV and POS III are reminded of upcoming events and provide necessary back up.
