Minimum Qualifications MINIMUM QUALIFICATIONS:
Candidates must be reachable on the current Civil Service eligible list for this title
OR
Candidates must be a current New York State employee eligible for transfer under Section 70.1 of the Civil Service Law, with one year of permanent competitive service in a qualifying title. The transfer cannot be a second consecutive transfer resulting in an advancement of more than two grades.

Duties Description POSITION DESCRIPTION:
The Office for People With Developmental Disabilities (OPWDD) Division of Person-Centered Supports (PCS) is seeking an individual to support staff daily in the Employment & Meaningful Community Activities unit. The Office Assistant 1 (KB) will act as a main administrative support person for office professional staff.
As an Office Assistant 1 (KB), the responsibilities of the incumbent may include but are not limited to the following:
• Review, sort and distribute the mail in accordance with staff assignments;
• Scan documents for electronic filing;
• Create and maintain databases and Excel spreadsheets along with maintaining electronic mailing lists;
• Establish and maintain tickler systems. Track deadlines for response. Follow-up to see that appropriate information is being prepared and will be completed by deadline;
• Prepare draft responses to correspondence and submit to manager for review;
• Make travel arrangements and prepare travel vouchers in accordance with OSC regulations;
• Schedule meetings, conference calls and reserve meeting rooms using Microsoft Outlook;
• Schedule video conferences coordinating with Central Office and DDRO staff;
• Answer phones, respond to inquiries and direct calls to appropriate staff;
• Update guidance and training documents;
• Manage provider directories and technical assistance mailboxes & various email lists;
• Maintain files and perform routine clerical functions including filing; and,
• Perform other tasks which fall under the categories of communication, coordination, organization and records maintenance.
Note: Appointment to this position is contingent upon passing requisite typing test.

• For CSEA positions: Local Bidding Agreements will be honored.
• All OPWDD employees must be eligible and maintain eligibility for full and unconditional participation in the Medicare and Medicaid programs. Continued employment will depend on maintaining eligibility.
