Minimum Qualifications Qualifications
This is a permanent position in the competitive jurisdictional classification. To be eligible, candidates must be reachable for appointment on the current Civil Service eligible list for this title; or have permanent status as a Secretary 1, SG-11, and be eligible for lateral transfer; or be eligible for transfer under Civil Service Law; or be eligible for reinstatement pursuant to Civil Service Rule 5.4.

Duties Description The State University of New York System Administration is searching for a full-time Secretary 1, SG-11, for the office of Academic Health and Hospital Affairs (OAHHA). Duties of the Secretary 1 include providing support to the team, assisting in daily office needs, and managing the Office's general administrative activities. The selected candidate will ensure the efficient and smooth day-to-day operation of the office.

Responsibilities include but are not limited to the following:
•Answer and direct phone calls
•Organize and schedule appointments within SUNY Administration; among various SUNY campuses; and with external stakeholders including other state agencies and related entities
•Assist with printing, copying, and binding presentation materials for distribution
•Write and distribute email and/or correspondence memos
•Order office supplies
•Maintain contact lists
•Distribute office mail
•Book travel arrangements
•Submit and reconcile expense reports
•Provide general support to visitors
•Act as the point of contact for internal and external clients
•Liaise with executive and senior administrative assistants to handle requests and queries from senior managers

Requirements:
•Working knowledge of office equipment, like printers and fax machines
•Proficiency in MS Office (MS Excel, MS Word, and MS PowerPoint, in particular)
•Excellent time management skills and the ability to prioritize work
•Attention to detail and problem solving skills
•Excellent written and verbal communication skills
•Strong organizational skills with the ability to multi-task
