Job Specifics

Minimum Qualifications Applicants must have taken and passed a NYS Civil Service examination and be reachable off the Civil Service eligible list.

Duties Description SUNY Empire State College, Division of Enrollment Management, is currently seeking a Secretary 1 at our Ithaca location.

The Secretary 1 will support the Regional Operations Coordinator to assure the smooth functioning of the location's day-to-day administrative support activities, and provide additional support as appropriate for other locations.

•Provide administrative support to the Regional Operations Coordinator, and others as assigned.
•Responsible for clerical duties such as coordinating the workflow of the office and carrying out day-today administrative support activities; courteously and effectively provide customer service.
•Respond to questions and provide information to students and/or guests.
•Utilize "Service Now" ticketing to address maintenance issues as appropriate.
•Serve as liaison to other college offices to assist with coordination of events.
•Exercise discretion with respect to confidentiality.
•Assist with planning and participate in community, marketing and outreach efforts.
•May provide administrative support for college activities.
•Maintain inventory and replenish college literature and office supplies; upkeep of Xerox machines.
•Open, review, sort and distribute the mail in accordance with staff assignments
•Review incoming correspondence and reports to determine their significance. Make recommendations to manager or refer to appropriate person for reply.
•Arrange conferences, assemble and coordinate background materials for meetings and conferences. Attend meetings as assigned and prepare summaries of the meetings conclusions or agreed upon courses of action.
•Become familiar with the student life cycle and experience from prospects through alumni.
•Keep current with college-wide software and database systems as needed.
•Exercise independent judgment and discretion.
•Maintain location scheduling and calendar.
•Make travel arrangements and prepare travel vouchers.
•Use Microsoft Office 365 Suite features for creating documents, spreadsheets, databases, email applications, and personal Outlook calendar.
•Use Skype for Business application to schedule and participate in meetings.
•Responsible for following proper opening and closing procedures for location.
•Track visitor and student location usage data.
•Perform other clerical tasks as assigned by the Regional Operations Coordinator.

The incumbent will work closely with culturally diverse faculty, staff and students in a multicultural learning work environment.
