Minimum Qualifications Candidates must be permanent competitive or 55 b/c employees of New York State to be eligible to apply for this position.

Permanent Appointment:
One year of permanent competitive service as an Secretary 1 OR be reachable on the Secretary 1 eligible list OR have one year of permanent competitive or 55b/c service in a title eligible for transfer under Section 70.1 of the law.

Duties Description The School of Business at the State University of New York at Oswego invites applications to fill a full time Secretary 1 position, Grade 11.

Description of Responsibilities:

• Coordinate between the Travel Office and faculty members of both departments to schedule and arrange travel to conferences, as well as assembling receipts and all necessary paperwork for reimbursement.
• Monitor and maintain state and SUTRA budgets for both departments, keeping the chairs and Dean's office apprised of the status of each budget on an ongoing basis. Initiate/monitor spending for OTPS, travel and recharges within confines of budget and School of Business policies.
• Prepare, coordinate and monitor the status of personnel paperwork for both departments in regards to DSI, reappointments and promotions, maintaining departmental personnel files, and serving as liaison between faculty and department chairs.
• Prepare and coordinate faculty evaluation packets and organize results for faculty distribution, for each semester.
• Assist two department chairpersons, 34 full-time faculty, up to 5 visiting scholars and 15-20 adjunct faculty with documents required for their classes, i.e., copies of syllabi, tests, misc. information, on a daily basis. Also assist v-rith operation/maintenance of2 BizHubs.
• Facilitate .reservations and maintain calendars for Rich computer lab, department conference room, alumni lounge, and two student study rooms (215 and 216), as well as assisting department chairs with their calendars.
• Maintain a storeroom of office supplies necessary for the operation of both departments, set up and maintain files for both departments, hire and supervise work study students.
• Provide information to faculty and students, or direct them to the appropriate person or resource, and assist students who wish to drop, add, or withdraw from a class, declare a business major, change their advisor, add an internship, do an independent study, etc.
• Attend department meetings, take minutes and transcribe for Blackboard, as requested by Marketing & Management Chair.
• Coordinate scholarship selection and notification process, including winner notification letters/emails and printing of certificates.
• Prepare freshman letters for both departments in the Spring.
• Each semester, collect syllabi from all courses for the School of Business files and upload to the Community Group -School of Business in Blackboard. Create office hour sheets for each faculty to post and for the Chair's reference.
• Assure that the department office is organized and runs in an efficient manner, maintaining and updating all physical and electronic files, as well as liaising with numerous campus offices.
