Minimum Qualifications Candidates must be reachable for appointment on current Civil Service Eligible List for this title.
Transfer: Candidates must have permanent competitive status in the posted title and be eligible for lateral transfer; OR be eligible to transfer via Section 70.1 of Civil Service Law. The transfer cannot be a second consecutive transfer resulting in an advancement of more than two salary grades.
You must be a qualified employee of New York State and have had one year of permanent competitive or 55-b/55-c service in a qualifying title.
Duties Description POSITION DESCRIPTION:
As an Office Assistant 2 (Keyboard Specialist), you would perform clerical and office support work, including processing transactions and maintaining records, in a variety of organizational settings, to meet the requirements of agency programs. The Family Care department provides residential services to individuals in Long Island DDSOO. The individuals reside in homes that are certified to provide 24-hour residential services. Responsibilities of the Office Assistant 2 is to provide office and clerical support to the Family Care Department.
PRIMARY DUTIES AND RESPONSIBILITIES.
• The Office Assistant 2 will provide clerical support to ensure the Family Care Coordinator and the clinical team is abreast of all incoming calls, incidents, and issues as they occur.
• Track and complete data entry into Redcap surveys for each Family Care Home operated under Long Island DDSO; Submit weekly COVID vaccine boosters and flu tracking sheets for the entire region Family Care Locations including voluntary agency Family Care Homes in Nassau & Suffolk.
• File Family Care records maintained in active files, archive outdated medical records and prepare them to be delivered to Health Information Management department. Entries in E.H.R, CHOICES, TABS, and all necessary database as needed.
• Maintain all Family Care excel tracking sheets (training, certification, recertification, etc.) and update records in several Family Care shared drives and folders.
• Office coverage to ensure that all phone calls and or Family Care business are addressed in person and or via phone.
• Track and prepare monthly unit report, FC Payroll, enter all TABS billing, admissions, movements, deaths, and discharges from residence.
• Ensure ongoing communication with several voluntary agencies, assist in advisory council meeting, creating agendas and meeting minutes.
• Track and mail all certification and recertification packets to Family Care and Substitute providers.
• Maintain records for certification, •recertification, Statement of Deficiencies, Plans of Correction.
• Perform general clerical responsibilities such as faxing, scanning, copying, schedule meetings, answering phones, filing, drafting legal letters and other operational support as needed for the unit. Also provide coverage to other Keyboard Specialists as needed.
• Maintain unit office equipment and procurement of office supplies.
• Additional duties as assigned.
